Transition Services-Ensure a smooth transition of:
Transfer appropriate files and records
"Introduction Letter" to each Co-owner of the association
Notify all vendors and service and maintenance contractors, utility companies, insurance agents, etc.
Become familiar with operating procedures, maintenance schedules and contracts and the physical property itself
Property Management
24/7 on call maintenance and work order system for repairs
Ensure compliance with bylaw rules and regulations
Property and liability insurance coverage for adequate protection
Preventative maintenance program (with board direction)
Capital project planning, bids, and projects as necessary (with board direction)
Vendor relations for grounds maintenance (direction, coordination, pricing, on-site inspection of work, etc.)
Any other maintenance work the association is responsible for, as needed
Financial Services
Annual Operating Budget-development and management
Capital Budget –development, monitoring and reporting
Fiduciary duties to membership, including investing reserves in interest bearing accounts
Accounts Receivable- Collection of monthly (and any special) Co-owner assessments, including handling any delinquent accounts
Accounts Payable- disburse funds to pay service vendors, utilities, insurance, etc
Monthly Financial Reporting-Balance sheets, Bank reconciliations, Operating Reports: budget vs actual expenses, Co-owner assessment status report, etc.
Assist Treasurer/Accountant in annual tax returns
Relationships with Board and Co-owners
Open line of communication as necessary
By-law compliance- handle violations
Assist in development of any modifications to the bylaws
Attend board meetings- 6/year
Annual Association Meeting
Send out mailings as necessary-updates on projects, compliance issues, financials, etc.
